Everything we get asked about HubGuard, the HubSpot Free contact cap, and how monitoring works. Something not covered here? Visit support or email us directly.

No. HubGuard uses read-only OAuth scope — it can read your contact count, nothing else. It cannot edit, create, or delete records in HubSpot. The archive function exports a CSV and removes contacts, but that action is triggered by you from the HubGuard dashboard, not by the HubSpot integration.
HubGuard exports a CSV of the contacts you select, then archives them in HubSpot (HubSpot's soft archive, not a hard delete — HubSpot keeps them for 90 days). The CSV is stored securely and linked from your HubGuard dashboard for 90 days. You can restore any archived contact within that window.
Your HubGuard dashboard always shows your current count, trend, and projection — you can check it anytime, not just when an alert fires. If you have quiet hours configured and an alert fires during that window, it is queued and delivered when the quiet period ends.
The Free plan supports one portal. Pro supports unlimited portals — each monitored independently, each with its own alert channel configuration. If you manage HubSpot portals for multiple clients, Pro is the right tier.
Cancel any time. No cancellation fees. Your portal connection is revoked, your snapshots are deleted after 30 days, and your archived CSVs remain downloadable for the remainder of your 90-day window. You own every piece of data HubGuard ever exported for you.
HubGuard fires alerts at 70%, 85%, and 95% of the 1,000-contact HubSpot Free cap, plus one prediction alert when the 7-day projection line crosses your estimated cap-hit date. Each threshold fires once — no repeated noise. On the Free plan, alerts are delivered by email; Pro adds Slack, Microsoft Teams, and Discord channels.
HubGuard takes one contact-count snapshot per day and builds a 7-day trend, then uses a linear extrapolation of recent growth to estimate when you will reach the 1,000-contact cap. These are estimates, not guarantees — actual timing can vary if your contact growth rate changes. Treat the projection as one data point, not a definitive forecast.
HubGuard reads only your total HubSpot contact count — a single integer. It does not read individual contact records, properties, email addresses, company data, deals, or tickets. The only data we store is your portal ID, the contact count at each daily snapshot, and the snapshot timestamp. Full detail is in our Privacy Policy.
You choose your region at account creation: EU-Central (Frankfurt) or US-East (Virginia). Snapshot data and archive files stay in that region and do not replicate across regions. Storage is tenant-isolated, so your portal data is never mixed with another customer's.
